Patient Consent for Recording
Pearl Voice records and transcribes the full conversation between the provider and patient during an appointment. Because this includes the patient's voice, practices should obtain patient consent before beginning any recording.
What we recommend
Obtain verbal or written consent from each patient before starting a Pearl Voice recording.
Many practices handle this as part of their standard intake or HIPAA consent process. You can add Pearl Voice to your existing consent language, or address it at the start of the appointment.
Example verbal disclosure:
Does Pearl provide a consent form?"I'll be using a voice documentation tool today that records our conversation to generate your clinical notes. The recording is stored securely and used only for that purpose. Is that okay with you?"
Pearl does not provide a standardized consent form, as requirements vary by state and practice type. We recommend working with your practice attorney or compliance officer to determine the appropriate consent approach for your organization.
Is Pearl Voice HIPAA compliant?Yes. Pearl Voice is built with HIPAA compliance in mind, and Pearl maintains a Business Associate Agreement (BAA) with its AI infrastructure partners. If your practice has specific compliance questions, contact the Pearl team to review data handling practices.
What happens to the recording?Pearl Voice records and transcribes the full conversation. The transcript is used to generate the clinical note. Small talk and non-clinical discussion may appear in the transcript but is not carried into the generated note. Recordings are stored securely and are not shared outside Pearl's infrastructure.
